Opportunity Summaries

WHEN A DEAL NEEDS A BRIEF

What it does

An AI Employee reads the opportunity history and writes a current summary: where it stands, what was promised, open questions, and the recommended next step.

The problem

Deal records fill up with fragments: old emails, half notes, and status changes nobody explained. Handoffs take longer than the meeting.

Trigger

Starts when a deal needs a brief.

Tools and systems

Connections depend on your deployment. Native where available, otherwise through Zapier, an API, or another connection you already use.

HubSpotSlackGmail
  • CRM
  • Email
  • Slack
  • Google Sheets

What it reads

  • CRM records, notes, and fields you map
  • Messages in the connected inbox
  • Internal alerts and threads you route to Slack
  • Rows and columns you map in Google Sheets

Actions it can take

  • Reply or reach out on the connected channels you allow
  • Create or update CRM records with the fields you map
  • Read and update mapped spreadsheet rows
  • Notify the team in Slack with a summary
  • Hand off to a person when the request is outside the playbook

Human controls

  • Summaries can be drafts until a person accepts them.
  • Confidential fields can be omitted.
  • You decide when a summary is required (handoff, forecast, weekly review).

Workflow steps

  1. 1A deal is flagged for summary, or a handoff is about to happen.
  2. 2The AI Employee reads notes, messages, and stage history.
  3. 3It writes a short brief with facts separated from guesses.
  4. 4The brief is stored on the record and optionally posted to Slack.
  5. 5The assigned person confirms or edits before it becomes the source of truth.

Example use case

Before pipeline review, each open deal over a threshold you set has a six-line brief: last contact, blocker, next date, and owner. The meeting starts on decisions instead of archaeology.

Often handled by your AI Sales Representative, as part of the broader AI Workforce.
